USB-C rollout across 18 hybrid meeting rooms
One dock specification, 18 rooms, mixed Windows and macOS laptops — and a hard requirement that any visitor can walk in and present.
The setup
A company with 18 meeting rooms of four different sizes, a fleet that is roughly 60% Windows laptops and 40% macOS, and a rooms team that had been buying whatever dock was cheapest each quarter.
The problem
Visitors were arriving with laptops that either carried video over USB-C or did not, and the rooms had accumulated six dock models with different behaviours. Dual-display support was inconsistent, and rooms were being taken out of service for 'the projector does not see my laptop' calls.
What we supplied
We standardised on a single dock specification with published lane behaviour, plus a USB-C video converter for the legacy machines that only expose USB 3.0. The dock range was supplied with a fixed firmware revision and a written compatibility matrix, so the rooms team knows before purchase which laptop gets one display and which gets two.
Outcome
One dock model and one converter model now cover all 18 rooms. Dual-display works on every fleet machine that supports it, legacy laptops get a single 4K30 display over the converter instead of nothing, and the rooms team installs from one page of instructions.
At a glance
- 6 dock models reduced to 1 dock + 1 converter
- Same firmware revision in all 18 rooms
- Compatibility matrix published before rollout
